About the role
The Executive Assistant provides administrative support to the CEO, coordinating activities, communication, and priorities. The original notice sought a motivated person with discretion, sound judgement, and the ability to work in a demanding environment.
Key responsibilities
Executive support
- Support the CEO in the day-to-day management of SMBI.
- Manage meetings for the CEO and Board, keep minutes, and follow up on decisions and action points.
- Support partnership engagements through background research and participation in meetings.
- Prepare presentations for policy course training and support the creation of an SMBI knowledge platform.
- Support knowledge events, panel discussions, development fora, and annual conferences.
- Help coordinate consultancies as requested by the CEO.
Website and administration
Support an up-to-date SMBI website with photographs and stories about courses, programmes, and events.
Finance support
- Process payments and update financial spreadsheets.
- Support monthly payroll and maintain organised records.
- Process tax payments and SSHFC contributions.
- Record accounts payable and receivable, and participate in annual audits.
- Carry out other related duties assigned by the CEO.
Candidate requirements
- Advanced Diploma in Management, Office Management, Public Administration, or a related discipline.
- At least one year of work experience.
- Good written and verbal communication skills.
- Discretion in handling confidential and sensitive information.
- Initiative, time management, and attention to detail.
- Proficiency with IT tools, including Microsoft Office and virtual conferencing.
